Deleting your Kinmeadow account and your data

What this page is for

You can delete your Kinmeadow account whenever you want. You do not need to email us, phone anyone, or explain why. This page tells you how to do it, exactly what disappears, what we have to keep and for how long, and how to take a copy of everything first.

If you would rather just ask us, email notices@kinmeadow.com and we will do it for you. Details are further down.

Before you start: take a copy

Deletion is permanent. We cannot undo it and we cannot get your family's photos, notes or calendar back once it has run.

If there is anything you want to keep, export it first:

  1. Open Kinmeadow.
  2. Go to Settings, then Your data, then Export.
  3. We prepare a file and email you a link to download it.

The export contains your family group's content in a structured, machine-readable format: calendar entries, lists, meal plans, chores, chat messages, household records, vehicles, birthdays, and the photos and documents you have uploaded. Exporting is available on every plan, free and Pro, and you can do it as many times as you like.

How to delete your account in the app

  1. Open Kinmeadow.
  2. Go to Settings, then Account.
  3. Tap Delete account.
  4. Read the summary on screen. It tells you whether you are leaving the family group or closing it, because those are different (see the next section).
  5. Confirm. We send a code to your email address and you enter it, so that nobody can delete your account by picking up your phone.

That is all. The deletion starts straight away.

You can do this on both iPhone and Android, in the app, without contacting us. Apple requires apps that let you create an account to let you delete it in the same place, and so do we.

Leaving a family group is not the same as closing one

This is the part that catches people out, so it is worth reading slowly.

If you are a member and you delete your account, you are leaving the family group. Your login, your profile, your private settings and your notification tokens are deleted. Content that only you created and only you could see is deleted with them. Content you shared into the family group, a shopping list you added to, a message in the family chat, an event you put on the shared calendar, stays with the family group for the people still in it. That is deliberate. Deleting one person's account should not empty the family calendar for everybody else the night before the school run.

If you want something you shared taken out of the family group as well, delete it inside the app before you delete your account, or ask the owner to remove it.

If you are the owner and you delete your account, the whole family group closes. Every member loses access, every teen account in the group is deleted, every child profile is deleted, and the shared content is deleted. Warn your family first and let them export anything they want to keep, because once the group is closed we cannot bring it back for them either.

If you are the owner and you want to leave without closing the group down, the app can transfer ownership to another adult member first. Do that before you delete your account.

Removing one person without deleting their account. An owner can remove an adult member or a teen account from the family group in Settings. That takes away their access to the shared content. It is not the same as deleting their account, and it is not a substitute for it if the person wants their data gone.

Child profiles. A child under 13 has no login and no separate account. The adult who created the profile can delete it in Settings at any time, and doing so deletes that child's profile, their date of birth, and the content held against their profile.

What gets deleted

When your account is deleted, we delete:

  • your name, email address and date of birth
  • your sign-in details and any stored password hash
  • your profile and your settings
  • content only you created and only you could see
  • your assistant conversations and the questions you asked
  • your device push tokens, so notifications stop
  • the encrypted access tokens for any calendar or mailbox you connected, which also ends our access to those accounts
  • any addresses you saved, and the coordinates held for departure reminders
  • photos and documents you uploaded, unless another member shared them onward inside the family group

When the owner closes a family group, all of the above is deleted for every member, and the shared content of the group goes with it: the shared calendar, lists, meal plans, chores, chat, household records, vehicles and birthdays.

What we keep, and why

We do not keep a shadow copy of your family's life. There are three narrow exceptions and they exist because the law or somebody's safety requires them.

Two things worth saying plainly about that list:

  • The payment records are the store's records of a transaction. They do not include your card number, because Apple and Google take payment and no card details ever reach our systems.
  • Abuse reports are kept in a restricted place, not in the running app. They are not used for anything except handling that report.

If you separately asked to be kept off our marketing list, we keep the fact that you unsubscribed for [2] years, so that we can prove we honoured it. That is a record of your objection, not a mailing list.

We also keep server logs for [30] days and crash reports for [90] days. Those are technical records in which you appear as an identifier or an IP address rather than by name, and they age out on their own schedule.

How long deletion takes

The reason for the second number is honest and boring. We take encrypted, geo-redundant backups of the database so that a fire, a fault or a mistake cannot lose your family's photos. Those backups are kept on a rolling 60 day window and they are not editable, so a deleted record survives inside them until the backup that contains it expires. Nothing in that window is used to run the app, and if we ever had to restore from a backup we re-apply outstanding deletions afterwards.

After 60 days, your data is gone from Kinmeadow completely, apart from the narrow exceptions in the table above.

Deleting the app is not the same as deleting your account

Two common mistakes, both of which cost people money.

Removing the app from your phone does not delete your account. Your family group, your content and your login all carry on. Anyone else in the group still sees everything you shared. To delete your account you have to use Settings inside the app, or email us.

Removing the app does not cancel a Pro subscription either. Pro is sold through the Apple App Store and Google Play, they take the payment, and only they can stop it. If you delete the app and nothing else, the subscription keeps renewing.

Cancel first, in the store:

  • iPhone or iPad: Settings, then your name, then Subscriptions, then Kinmeadow, then Cancel Subscription.
  • Android: Play Store, then your profile picture, then Payments and subscriptions, then Subscriptions, then Kinmeadow, then Cancel subscription.

Deleting your account does not automatically cancel the store subscription, and we cannot cancel it for you. Our Subscription Terms explain refunds and your 14 day right to change your mind. If you get stuck, email support@kinmeadow.com and we will walk you through it.

Deleting your account without opening the app

You do not need a working phone, a working app, or even a working password.

Email notices@kinmeadow.com from the email address on the account and tell us you want the account deleted. Say whether you are the owner, because if you are, the whole family group closes.

  • We will acknowledge your request and, if we need to, ask a question or two to check you are who you say you are. We keep that to the minimum. We will never ask you for a photo of a passport or a driving licence.
  • We complete deletion requests within one month, and in practice much sooner. If a request is genuinely complex we can take up to two further months, and we will tell you inside the first month if that happens.
  • The timescales in the table above then run in the same way.

This route is free. You can also use it to ask for a copy of your data, to correct something, or to object to how we use your data. Your full set of rights, and how to complain to the Information Commissioner's Office if we get it wrong, are in our Privacy Policy.

If you change your mind

Once deletion has started we cannot stop it, and after it has run we cannot reverse it. You are welcome to sign up again with the same email address, but it will be a new, empty account with a new family group. Nothing comes back.

In-app route. Settings, then Account, then Delete account, confirmed by a one-time code sent to the account email address. Available to every account holder on both platforms, on the free plan and on Pro, without contacting support.

Off-app route. Emailing notices@kinmeadow.com from the account email address. Provided so that a user who has lost access to the app or the device can still delete the account. No account or app installation is needed to reach this page or to use that address.

Data deleted on request: name, email address, date of birth, sign-in credentials, profile and settings, calendar entries, lists, meal plans, chores, family chat messages, household records and renewals, vehicles, birthdays, uploaded photos and documents, saved addresses and departure reminder coordinates, assistant conversations, push notification tokens, and the encrypted access tokens for any connected calendar or mailbox. Where the deleting user is the family group owner, the same applies to the entire family group, including all teen accounts and child profiles within it.

Data retained after deletion, and why:

Timescales: access ends immediately; data is removed from live production systems within 30 days; data is purged from encrypted backups within 60 days, which matches the backup retention window.

Partial deletion: a member may delete their own account and leave a family group while shared content they contributed remains available to the remaining members. Only the family group owner's deletion closes the entire group.

Subscriptions: the app has no in-house payment processing. Deleting an account does not cancel an Apple or Google subscription, and this page tells users how to cancel in the store.

No advertising, no ad identifiers, no analytics SDKs, no background location, and no use of user content to train AI models.
